Q: What are the requirements for pre-sorted mail.

A: Pre-sorted mail can be delivered either first class or standard. To qualify for First-Class the mailing must be:

  • 500 pieces (minimum)
  • Each piece must not weigh more than 13 ounces

To qualify as Standard the mailing must be:

  • 200 pieces or 50lbs (minimum)
  • Each piece must weigh less than 16 ounces

Q: What do the dimensions of my letter size mail piece need to be to qualify for automation rates?

A: For unique shapes or squares, contact us and we’ll help you with
mailing information.
To have your letter size mail piece qualify for automation processing (the most affordable):

  • It must be smaller than 11.5” long and 6.125” tall and no more than .25” thick
  • It must be at least 5” long x 3.5” tall, and at least .007” thick
  • If it is over 6” long x 4.25” tall, it must be at least .009” thick
  • The aspect ration of length versus height is just as important.
    Length/height = between 1.3 and 2.5

Q: My piece needs to include an Indicia (Permit) layout. What fonts/size must be used for the indicia information?

A: The font should be Arial, 8 point. It should be all caps and should either be centered on itself, or inside a box. (The box is not necessary). For samples of Indicias, download the indicia.pdf.

Q: My piece is for a non-profit. What do I need to do to have the piece classified for a non-profit?

A: Non-profit organizations must apply to the Post Office for this special rate.

  • The process may take as long six weeks, so start early
  • If the Non-Profit organization already has non-profit status at one Post Office but wishes to mail from another then form 3623 must be completed and submitted prior to the mailing date to mail at the lower non-profit postage rates
  • To apply for non-profit rates, print and submit form 3624

Q: I realize that a mailing I already sent qualified for non-profit status.
What do I do?

A: You can apply for a refund of postage. Print and submit form 3533 for a postal refund.

Q: Do postal rates vary depending on where I mail my pieces?

A: First-Class Presort Mail:

  • The postal rates do not vary.

Standard Mail:

  • The postal rates do vary based on where the pieces are going. Mail that is to be received within zones that are located close to the entry post office receive a lower rate than pieces that will travel across the county.We can help determine the best method to “drop ship” your mail to both decrease the postage and delivery time. Q: How long will it take my pieces to be delivered from Roanoke via the USPS (Postal Service)?

A: Delivery times vary depending on how the piece is classified. Below are PDFs that show deliver times across the US depending on classification. These maps are for USPS delivery only.

Q: I’m not sure all my addresses in my list are correct, what can I do?

A: When people do things like move or get married, their mailing/address information changes. We will clean your list, so the addresses are correct, and standardized. We have a couple different methods by which we can do this:

  • NCOALINK is a certified product licensed and supplied by the USPS to us. It corrects addresses and helps us format addresses to USPS standards. For more info than you’ll probably ever need download NCOA Codes
  • DPV Codes allow us to verify that an address exists - even down to the suite number - and confirms it’s a deliverable address. For even more information download DPVCodes.pdf
